Association Roles and Responsibilities

Homeowners  [+]

  • Read and comply with the governing documents of the community.
  • Maintain their property according to established standards.
  • Treat association leaders honestly and with respect.
  • Vote in community elections and on other issues.
  • Pay association assessments and charges on time.
  • Contact association leaders or managers, if necessary, to discuss financial obligations and alternative payment arrangements.
  • Request reconsideration of material decisions that personally affect them.
  • Provide current contact information to association leaders or managers to help ensure they receive information from the community.
  • Ensure that those who reside on their property (e.g., tenants, relatives, friends) adhere to all rules and regulations.

Association Manager  [+]

  • Responsible for the day to day operations of the Association
  • Account for financial activities covered by the Management Agreement
  • Perform onsite property inspections
  • Solicit and evaluate bids for association services
  • Supervise maintenance activities and contractor performance
  • Oversee and authorize payment for primary association services
  • Comply with Declaration of Covenants Conditions and Restrictions, bylaws, standards and practices as may be established from time to time by CAI subject to all federal, state and local laws, ordinances, and regulations in effect where the Manager practices.
  • Act in the best interests of the client
  • Insure that homeowners receive timely notice as required by state statutes or legal documents
The Board of Directors  [+]

  • President
    • Liaison with Community Association Manager
    • Performs all tasks not executed by law, Declaration, Articles of Incorporation or the By-Laws.
    • Appoints and supervises all Committee Chairs
    • Represents the Association in all outside matters
    • Presides at all board and membership meetings
    • Represents the board before the residents
  • Vice President
    • Performs all of the duties of the president in their absence
    • Usually assigned liaison responsibility to specific staff or contractors, and to specific committees
  • Secretary
    • Responsible for making meeting minutes
    • Maintains minutes and book on all meetings
    • Maintains book of resolutions
    • Attests, by signature, to the legitimacy of certain documents
    • Certifies all quorums, meeting notices and election results
  • Treasurer
    • Chief Financial Officer of the Corporation
    • Reviews the financial statement
    • Presents the treasurer’s report at each meeting outlining any variances from the actual to the budgeted amount for the month and year, Status of reserves and any unusual accounts receivable or accounts payable activities.
    • Works with appropriate staff, contractors, and committees to develop and submit annual operating budget for approval
